Great temporary opportunity for an experienced bilingual Administrative Assistant/ Receptionist with a well established global manufacturer. This position will be at least 1-2 months in duration, with a possibility of going full time.

 Responsibilities

Office Reception & Clerical Support:

  • Greets all incoming employee and visitors;
  • Ensures all visitors sign in and are aware of Visitor Safety Policy;
  • Answers telephone
  • Provides assistance to company employees related to access to resources, meeting coordination, room booking, communication regarding office activities and general support where required
  • Types memo’s, emails and letters
  • API processing
  • Booking Training for Customers
  • Attends all meetings, types and posts minutes and inspections, follows up with some action items as assigned
  • Maintains office and related records
  • Translation Services

Coordination of Shipping and Receiving

  • Responsible for the development of shipping/receiving procedures manual in coordination with our SOP guidelines and communication of procedures to all Canada employees
  • Responsible for organization of warehouse and shipping department in coordination with Regional Service Manager
  • Responsible for filing and recording delivers and tracking orders where necessary
  • Responsible for annual renewal of all service providers related to shipping/receiving in order to reduce costs where possible

 Qualifications

  • Minimum 2 years office administration in professional and/or sales environment required
  • Bilingual in French/English required
  • Superior communication skills both verbal and written
  • Computer savvy in MS Office products, general operation of computers
  • High degree of organizational and time management
  • Ability to work as a team player and wear multiple hats
  • Collaboration skills
  • Negotiation skills (contract negotiation with Office Supplies, HVAC, Xerox, Cleaners, etc)
  • Conscientious on follow-up of tasks to completion
  • Maintains confidentiality of office information
  • English [Advanced], French [Advanced]
